Job Summary

Under general supervision of the Forward Planner, provides administrative support to Forward Planner and Area Construction Manager to coordinate activities to support homebuilding operations. Prepares building permits and school fee applications; obtains approvals from city and county. Coordinates obtaining drawings and documents from architects and others and submits for master plan approval by city and county. Acts as Administrator for construction software; manages/updates users in all systems and is responsible for data management of new community set up and releases. Obtains plot plan approvals and enters construction phases into database. Travel to jobsites and related agencies required.

Essential Duties and Responsibilities:

% of Time

  • 50%: Initiates building permit process. Includes preparing building permit applications and takes to city or county offices. Follows up to receive approvals and fees. Takes check to offices to pay fees and picks up approved building permits. Completes school fee applications and take to county. After approval, takes to school district and pays school fees. Learns requirements of different jurisdictions for application process. Delivers approved permits to construction sites.
  • 15%: Upon approval of master plan, as directed by the Forward Planner, meets with Director of Sales & Marketing Director and President to pre-plot the community. Prepares fit list to show chosen plans on each lot and forwards to architect. After architect returns fit list with colors and elevations, submits finalized fit list to civil engineer for plot maps. Upon return of plot plans, enters phases into database (Homefront/Build Pro).
  • 15%: Construction release coordination, whereby budgeted starts are monitored, and permits are ready to meet predetermined budget. Upon release of construction phases, creates supporting sequence sheet and approved plot plans and distributes to dept managers through DocuSign. Uploads finalized and approved sequence sheet to Build Pro for trade distribution
  • 15%: Build Pro Administrator facilitating new community set up and subsequent construction releases at the direction of the Forward Planner. Assists in coordinating construction schedule reporting and ensures timely updating by field.
  • 5%: Provides administrative support including correspondence, construction reports, and management reports. Assist with technical needs, including computer deployment and construction trailer set up. General construction administrative duties. Assist with safety program and coordination of required reporting and training.

Minimum Education and/or Experience:

High School (GED) plus 2-4 years related experience or equivalent combination of education and experience. Homebuilding experience required. BuildPro Experience Preferred. Project Management Experience a plus.

Computer Skills:

MicroSoft Outlook: Open and reply to e-mails, open folders, set and reply to calendar appointments.

Word - Basic Skills: Open document, change font, copy text, create columns check spelling, change margin, align text, set tabs

Excel - Intermediate Skills: Begin formula, edit formula, sort range, insert row, Use SUM function, align text, preview worksheet, move between worksheets, go to cell, move formula, change column width, add new worksheet, freeze titles, add footer, name range, add border, filter list, insert page break, change page orientation, and center text over columns.

Database management software experience helpful.

Certificates, Licenses, Registrations:

Valid Drivers' license, insurance, and reliable vehicle required.

Physical Demands:

Occasionally stand, walk, reach with hands and arms, stoop, kneel, crouch, and lift up to 25 pounds.

Frequently sit, use hands, talk, and hear.
